Description Requirements: 
  • Grade 12 or equivalent qualification is required.
  • Relevant certificate or qualification in Office Administration, Business Administration, Reception or a related field would be advantageous.
  • Previous experience in a reception, front-of-house, client-service or office administration role would be advantageous.
  • Experience working in a professional services, financial services or similar corporate environment would be beneficial.
  • Proficiency in Microsoft Outlook, Teams, Word and Excel. 
  • General experience using Microsoft 365 applications in a professional office environment.
  • Comfortable working with electronic filing systems, shared calendars, meeting-room booking tools and digital communication platforms.
  • Able to learn new systems and adapt to changing technology and business requirements.
  • Confident using standard office equipment, including a switchboard or telephone system, printer, scanner and photocopier.
  • Good data-capturing skills with a high level of accuracy and attention to detail.
  • Professional, friendly communication and strong client-service skills.
  • Well organised with excellent attention to detail.
  • Able to manage multiple tasks and priorities efficiently.
  • Reliable, proactive and able to work independently.
  • Calm and composed under pressure.
  • Team player with a helpful, service-oriented mindset.
  • Quick to learn new systems and adaptable to changing technology and business requirements.

Responsibilities but not limited to: 
  • Manage the reception area and serve as the first point of contact, ensuring all clients, visitors and callers receive a professional and welcoming experience.
  • Coordinate client and visitor hospitality, meeting-room readiness, refreshments and related support to ensure meetings run smoothly and professionally.
  • Provide reception-based administrative and operational support, including bookings, deliveries, 
    supplies, records and the escalation of facilities-related requirements.
  • Supports the administration, hospitality and practical coordination of company functions, conferences and internal events.
  • Coordinates daily housekeeping requirements with the relevant team members, ensuring shared spaces are clean, stocked, safe and ready for use throughout the day and at the close of business.
  • Contributes to the wider office environment by demonstrating company values, supporting 
    operational objectives and maintaining a consistent focus on service excellence.
